I expect to be entering material in .PDF format, since this permits me to enter technical material in a format that can be read and printed without the use of the technical programs that have created the files. Here are a couple lists of instructions for students that I created a while ago for the YSU Conference. I have included a PDF Student Monitors file and a plain AMSTeX Student Monitors file that tell the students generally what to expect and do at the conference. The second files are specific instructions for all the meeting preparations. These are in the files PDF Meeting Instructions and AMSTeX Meeting Instructions. There is also a schedule of advertising, etc for the conference.
One things we have found to be useful is to compile a list of e-mail addresses of students attending the conference. We have our student group send them all thank you letters after the conference, individually addressed, and send all but seniors notification of next year's conference in addition to sending notices to faculty.
